Important information for returning guests

New ownership, management and access system

A complete guide to the changes affecting future accommodation reservations, direct bookings and Business Centre services.

Effective from 1 September 2026

Please read this notice carefully. The new requirements apply to every stay beginning on or after 1 September 2026, including reservations made by returning guests.

Thank you for choosing to stay with us previously. We greatly value the trust of our returning guests and would be pleased to welcome you again. This notice explains the new ownership and management structure, the apartments’ integration into a Business Centre, updated access and security requirements, the minimum two-night stay, direct-booking options and the additional services now available.

New ownership and management from 1 September 2026

From 1 September 2026, Symfalogic Ecosystem will become the new owner and manager of the properties.

From this date, the day-to-day management of the apartments — including guest registration, security verification and access-control procedures — will be handled directly by Symfalogic Ecosystem.

A new role within the local development and Business Centre

From 1 September 2026, the properties will be aligned with, and form part of, the major investment, construction and regeneration taking place in the local area. By developing the properties into high-quality accommodation and flexible business facilities, we are making our own contribution to this wider programme of local growth and development.

From this date, the properties will not only provide accommodation but will also operate as a professionally managed Business Centre, supporting the area’s expanding business community, workforce and ongoing development.

As part of this transition, a new guest-registration, security-verification and access-control system is also being introduced. Following previous misuse and serious rule breaches, these measures are intended to provide responsible guests with maximum protection, privacy and comfort through discreet and unobtrusive security.

Guests may also see business information and advertisements in the communal areas. These form part of the Business Partner Advertising Wall and do not affect the privacy or independent use of the accommodation.

Why are these changes being introduced?

Previous misuse of the properties and serious breaches of the House Rules have made a more controlled guest-registration, verification and access system necessary.

Previous problems

  • More people arriving than declared.
  • Undeclared visitors and pets.
  • Access codes shared with unauthorised persons.
  • Interference with CCTV, Wi-Fi and security systems.
  • Serious damage, parties, fires and unlawful activity.
  • Incomplete, incorrect or unverifiable guest information.

What the new system provides

  • Verified and authorised access.
  • Protection from unregistered persons.
  • Greater privacy and personal safety.
  • Protection for vehicles, belongings and property.
  • Faster response to emergencies and serious breaches.
  • A quieter, cleaner and more comfortable environment.

These measures are not intended to inconvenience responsible guests. Their purpose is to prevent misuse while providing approved guests with the highest possible level of safety, privacy, comfort and peace of mind.

Our objective is to provide maximum protection in a discreet and unobtrusive way. Guests who comply with the House Rules should be able to enjoy the apartment peacefully without the background security arrangements interfering with their stay.

A higher standard of accommodation

The apartments are being developed to provide a higher standard of comfort, convenience, security and a more welcoming, homelike environment. Accommodation is primarily intended for contractors and people travelling for work, families, business travellers, approved Business Centre users and responsible returning guests.

Every reservation is reviewed

Management may decline a reservation or refuse access where the purpose is not provided or verifiable; information is incomplete or inconsistent; the booking appears connected with a party, gathering or unregistered visitors; arriving guests differ from the reservation; the stay presents an unacceptable safety, disturbance or damage risk; the guest has previously breached the rules; or the proposed use is incompatible with the accommodation or Business Centre.

Bookings made by unrelated adult groups primarily for social or leisure purposes may be declined where management reasonably identifies an increased risk of parties, visitors, disturbance, overcrowding or other House Rule breaches.

Minimum two-night stay: From 1 September 2026, overnight accommodation reservations are accepted for a minimum of two consecutive nights. One-night accommodation bookings are no longer accepted. This does not apply to separately approved hourly business-meeting, temporary-office or day-office use.

New registration, security and access requirements

1. A confirmed booking does not automatically guarantee entry

Making and paying for a reservation does not automatically approve entry. Access requires successful registration, identity and security verification, acceptance of the updated House Rules, and confirmation that the apartment has been cleaned, inspected and is ready.

2. Purpose of travel

Before arrival, guests must confirm the purpose of their journey and stay.

3. Required guest information

  • Full legal name of every adult and child entering or staying.
  • Exact total number of guests.
  • Clear photograph of the reservation holder’s valid passport, driving licence or national identity card.
  • Valid photo identification for every guest aged 16 or over.
  • If the reservation holder will not stay: the lead guest’s full name, direct telephone number and valid photo identification.
  • Name and details of every dog or other pet.

4. No undeclared guests, pets or visitors

Every guest and pet must be declared, accepted and, where applicable, paid for before arrival. Friends, relatives, colleagues, acquaintances and other unregistered persons may not enter, even briefly. Declaring or paying for an additional person or pet does not automatically guarantee acceptance.

5. Access codes are issued only after approval

Key-safe codes and other access information are issued only after all required information and identification have been received and verified, the security process is complete, the House Rules are accepted, and the apartment is confirmed ready. Please do not travel to the property expecting entry before these steps are complete.

6. Refusal of entry

Entry may be refused if verification cannot be completed or if management reasonably identifies a safety or security risk. Where appropriate, a platform guest may be asked to request cancellation and assistance through the booking platform. Any refund, cancellation or alternative accommodation is subject to the platform’s terms and procedures.

7. Security service

A security service protects the apartments and may attend in response to unauthorised entry, unregistered persons, unlawful activity, serious disturbance, danger, a House Rule breach, security-system interference or risk to people or property. Where reasonably necessary and permitted by law, management or the security service may enter, verify identities, require prohibited conduct to stop and instruct persons to leave. Police or emergency services may also be contacted.

8. Strictly prohibited activities

  • Illegal drugs or controlled substances, including cannabis or marijuana.
  • Drug-related equipment, dealing or other unlawful activity.
  • Parties, events, gatherings and unregistered visitors.
  • Violence, threats, criminal activity, weapons or dangerous items.
  • BBQs, bonfires, fire pits, candles, fireworks and other open flames.
  • Smoking or vaping inside.
  • Covering, switching off, disconnecting, moving or damaging CCTV, alarms, sensors, Wi-Fi equipment, locks or security systems.

A serious breach may result in immediate termination of the stay and removal without prior warning.

9. Keys and access information

Keys, access cards and security codes are for registered guests only. They must not be shared, copied, published, given to an unregistered person, removed after departure or detached from a security cable or retaining device.

10. Responsibility of the reservation holder

The reservation holder is responsible for every member of the group, children and pets, any unauthorised person admitted, damage, missing items, additional cleaning, rule violations and other reasonable costs.

11. When leaving the property

  • Switch off all lights.
  • Turn off all taps.
  • Check that toilet cisterns are not continuing to run.
  • Close all windows.
  • Close and lock all entrance doors and gates.
  • Keep keys and access cards secure.

12. Updated House Rules

The complete updated House Rules form part of the booking conditions and must be read and accepted before access information is issued. Entry confirms that the guest has read, understood and accepted them.

  • Basic plates, glasses, cutlery, cookware and kitchen equipment.
  • Microwave, dishwasher, washing-up liquid and sponge.
  • Garden and garden furniture in suitable weather.
  • Management assistance and emergency security support.

Optional services

  • Weekday breakfast service.
  • Fruit and vegetable packages.
  • Guest slippers.
  • Additional cleaning.
  • Bed-linen and towel change.
  • Equipment for young children, where available.
  • Pet accommodation and pet welcome package.
  • Early check-in or late check-out, where possible.
  • Other individually arranged convenience services.

Optional services require advance request, approval, availability and the applicable fee.

Apartment and Business Centre services

Business and hourly use of the apartments

When there are no overnight guests, an apartment may be separately approved for hourly room or property hire, business meetings, consultations, interviews, recruitment meetings, training, small professional presentations, temporary-office use, day-office hire, quiet individual work, or approved photography, content creation and product presentation.

These services are separate from accommodation and require advance approval, identity verification, a separate agreement and payment. Parties, celebrations, social gatherings and unregistered visitors remain prohibited.

  • Registered-office service.
  • Business-address and correspondence-address services.
  • Approved residential-address service.
  • Mail acceptance, handling and forwarding.
  • Parcel acceptance, handling, dispatch and collection.
  • Storage for approved businesses and online shops.
  • Stock storage, order preparation and fulfilment support.
  • Temporary-office, day-office and meeting facilities.
  • Business consultation and administrative support.
  • Advertising on the Business Partner Advertising Wall.
  • Inclusion in the online UK Business Partner Directory.
  • Access to selected business partners and their services.
Address use requires approval. Accommodation guests may not automatically use an apartment’s address for residential, business, banking, immigration, vehicle-registration, company-registration, correspondence or parcel-delivery purposes. These services require written approval, successful checks, a separate agreement and payment. They do not grant accommodation or entry rights unless separately approved.

Direct reservations

From 1 September 2026, new accommodation reservations may also be initiated directly by emailing ramstonyapartments@gmail.com.

Please provide your full name, telephone number, proposed arrival and departure dates, purpose of stay, exact number of adults and children, the name of every person entering or staying, details of pets and any optional services required.

Management will check availability, review the request and issue a written quotation. A direct reservation may be offered at a lower price because booking-platform service charges and commission may be avoided. The exact price depends on dates, duration, guest count, pets, optional services and availability; a lower price is not guaranteed until quoted in writing.

Platform reservations: A reservation already created through Airbnb, Booking.com or another platform must continue to be managed and paid for under that platform’s terms. We will not ask a guest to move an existing platform reservation or payment outside the platform.

Direct bank-transfer payments

After a direct reservation has been reviewed and approved, payment may be made to the Symfalogic Ecosystem bank account. Do not transfer money before receiving a written quotation and payment instructions.

Use the booking reference provided by management. If none has been issued, use the lead guest’s full name and arrival date. A direct reservation becomes confirmed only after written approval, receipt and identification of payment, completion of registration and verification, and acceptance of the House Rules.

Sending an enquiry, receiving a quotation or making an unauthorised payment does not guarantee a reservation or entry. Pay only to bank details confirmed in writing by management, and contact us before payment if different details or another payee are provided.

Please include your full name, telephone number, required service, proposed date and duration, number of people and a short description of the intended use. Every request is reviewed individually. An enquiry or payment does not guarantee acceptance until management issues written confirmation.
